The Problem

Our local government client relies on a labour-intensive, manual process to compile critical business insights from multiple applications into a monthly Power BI report. This approach poses several challenges:

Time–Consuming Workflow: The manual data collection and report assembly process is resource-intensive, consuming valuable employee hours each month.

Risk of Errors: Human involvement increases the likelihood of errors, affecting data accuracy and decision-making.

Vulnerability to Absence: If the individuals involved in this manual process are unavailable, there is a risk that report generation will be disrupted.

The Solution

Our local government client was transitioning some of their applications, which meant we had to retain some of the Excel exports due to the changing application landscape.

  • We ingested data into a central repository where appropriate.
  • To enhance value derivation, we transformed manual business logic into a technical solution.
  • For the remaining spreadsheets (which couldn’t be fully automated yet), we configured a Power BI data gateway.
  • Our visualisation experts enhanced the reports, aligning them with best practices.
  • The gateway allowed the Power BI report to pull information directly from the spreadsheets, reducing manual steps.

Business Benefit

  • Increased Efficiency: Streamlined data ingestion and reporting processes.
  • Cost Saving: Automation of value derivation and visualisations reduces labour costs.
  • Enhanced Accuracy: Technical solutions minimise human error in data handling.
  • Scalability: Accommodate growth without manual adjustments.
  • Increased Stability: Lowers the vulnerability to staff availability.
  • Enhanced Report Flexibility: With the Power BI data gateway in place, communication is established. Therefore, there is greater flexibility in generating additional reports.
